This functionality was built with simple text and variables in mind. If you edit your word document and too many modifications are applied, it may prompt an error when generating a document.
We advise applying each modification individually and continuing to re-test the document (by generating the updated document) to verify that your customizations are acceptable.
It's best to download one of our available starter templates and work from there or start on a newly created word document.
*Lastly, if editing, saving, and uploading from a legacy version of Microsoft Word, then you may experience errors. Please update and use the latest version of Microsoft Word. 

Form letters and standardized documents are great for providing consistency and efficiency, but if you must manually edit the document to provide personalization you defeat the purpose.  The Bryt Custom Document Template Module solves this issue!

The Custom Document Template Module allows you to create a standardized document template and use data from your Bryt database to populate your document.  This provides you with personalized documents with a click of a button.  The documents are created in MS Word format to allow further personalization, as well as PDF format to provide a non-editable version of the document. 

Some advantage of the Custom Documents Module include:

  • Only one “Template” needs to be created, the rest are automatically generated.
  • Only the “Template” needs to be checked for errors, so there are less chances of mistakes being included.
  • “Templates” can be used for many different types of documents, saving time for each.
  • The same “Templates” are used by all Bryt users, enforcing consistency throughout your organization.
  • The documents you create are stored in the Bryt database providing you a record of your communication stored in the cloud.

Templates used in the Custom Document Template Module are created using MS Word and “merge fields”. If you can create a document using MS Word, you can create the templates used by Bryt. With little or no training, you can convert all your forms, letters and contracts to templates…  saving you time and money! 

Creating and Managing your Document Templates

The first step in this module is creating a "Document Template".  The document template is the MS Word document that contains merge fields from the Bryt system.  For instructions on how to create a document template in MS Word, download the "Merge Template Instructions", located in the Document Template section of the Admin tab.

 Once you have created your MS Word document template, add the template to your system by clicking the add template button:

 Select the file you want to upload as a template and click "Done":

This will add your Document Template to the Bryt System.  Now the document is ready to be used by any of your users:

You can manage your library of document templates using the following options:

  • Delete - allows you to delete a document template.  This option is only available if you have not created a document using the document template.
  • Test - Allows you to create the document using data from the Bryt system.
  • Update - Allows you to replace the current document template with a revised document
  • Download - Allows you to download the document as an MS Word file with merge fields
  • Edit - Allows you to change the name of the document template


Creating a Document using the Document Templates

To create a document, navigate to the "Files" tab of either the loan or contact that will be associated with the document. The document creation process is the same for loans and contacts.  Click the "Generate Document" button:

The next page asks you to Select the Merge Document Template that you want to use to create your document: 

  • Select the Merge Document Template that you want to use to create your document.
  • If you are creating the document from a contact record, you will have to Select the Loan that you want to use. The contact must be associated with a loan to generate a document.
  • The Document Date field defaults to the current date. This field will be used for any “current date” fields in your document as well as generate values specific to this date. Ex. Displaying historical principal balance as of this date that might be different than the most current principal balance.

Click Next to verify the fields that will be inserted into your document.  This page displays the values in the Bryt System associated with the loan or contact.  It only display fields that you have included in your document template.  If you want to edit the values before you create the document, you can do that here.  If you edit the values displayed on this page, it only changes the value in the document.  It will not change the values store in the Bryt system:

Click "Accept" to continue.  The next page allows you to rename the document you are about to create.  By default, the Bryt system names the document using the following formula:

<<Document Template Name>> + <<Current Date>> + <<Current Time>>

Click "Accept" to create your document.

The document will be created and stored in the "Files" section of the Bryt system.  From here you can:

  • Delete the document
  • Download the document as a MS Word document
  • Download the document as a PDF document
